Invitation to Former ICES Members -- template

This letter was written as a template for ICES Reps to invite former ICES members to the next local event (Day of Sharing, demo, business meeting, etc.) Insert the necessary information (replacing the red text), change the color of the text to black, sign your name and voilą, you have a professional letter ready in minutes!

Get lapsed members' information from the Membership Coordinator: gvmcmillan@aol.com.

RIGHT click on the template invitation above, choose "save target as" from the drop-down menu, download the letter, fill in the appropriate information, and send it out to all lapsed members from the last 18 months, for example.

Be sure to have a genuinely warm and caring "welcoming committee" at the door to greet all present and past attendees. Appoint someone who is friendly, outgoing and willing to perform this very important task. Research shows that the number one reason that folks leave any organization is because they don't feel comfortable, involved and/or appreciated.
 
Have a drawing for lapsed or non-members. Everyone who is either a first timer, or who is NOT a current ICES member gets one chance to win a prize. Have them put their names in a hat and win a prize (a small tool, perhaps? Something the existing members would have but a new person might not? It could be as simple as a gadget that someone donated because they had duplicates).
 
Sending the letter is good ... now TRACK whether or not it's effective. Check off ICES members at the door. Ask for a show of hands from first-time attendees, lapsed members and non-members. Welcome these people warmly and publicly.
 
Be sure to appoint someone to "follow up" with those non members after the event is over. Get their names and contact information. Give 'em a call after this meeting ... and another call later to invite them to the next event. Don't do a "hard sell" ... just a friendly invitation to join ICES, if they're interested. Welcome them to any event, whether or not they are ICES members.
